What is a Trial Balance?
A trial balance is a list of all ledger account balances on a given date, with debit balances in one column and credit balances in another. Because every transaction was recorded with equal debits and credits, the two column totals must agree. It is the first check performed before preparing final accounts.
How this tool works
Type each account head with its closing balance on the appropriate side. The tool totals both columns, shows the difference, and if the columns disagree it inserts a Suspense A/c line for the difference so the statement tallies temporarily. It also offers hints to locate the error: whether the difference equals a balance (omitted or duplicated), equals half a balance (posted on the wrong side), or is divisible by 9 (a transposition such as 54 typed as 45). Accounts entered on an unusual side β say Sales on the debit side β are flagged.
Which side does an account go on?
- Debit: Cash, Bank, Debtors, Purchases, Opening Stock, Fixed Assets, Expenses, Drawings, Input GST.
- Credit: Capital, Sales, Creditors, Loans, Outstanding expenses, Incomes received, Provisions, Output GST.
Closing stock normally does not appear in the trial balance (it is an adjustment) unless purchases have already been adjusted for it.
Worked example
Capital βΉ5,00,000 (Cr), Cash βΉ85,000, Bank βΉ2,40,000, Purchases βΉ6,20,000, Sales βΉ9,10,000 (Cr), Debtors βΉ1,80,000, Creditors βΉ1,45,000 (Cr), Furniture βΉ1,20,000, Rent βΉ96,000, Salary βΉ1,80,000, Opening Stock βΉ75,000, Drawings βΉ24,000 and Bank Loan βΉ65,000 (Cr). Debit total = βΉ16,20,000 and credit total = βΉ16,20,000 β the trial balance agrees.
Rectifying the difference
Once the error is traced, pass a rectification entry through the Suspense A/c. For example, if βΉ5,000 received from a debtor was credited to Sales instead of the debtor, debit Sales A/c and credit the debtor; the trial balance was unaffected, so no suspense entry is needed. If a βΉ5,000 purchase was posted only to the creditor, debit Purchases A/c and credit Suspense A/c to close it.
Limitations
An agreed trial balance proves arithmetical accuracy only. Errors of omission (a transaction not recorded at all), errors of principle (revenue expense capitalised), compensating errors and wrong-account postings of equal amounts will not be revealed.
Frequently Asked Questions
What is a Suspense Account?
A temporary account used to park the difference in a trial balance so that final accounts can be prepared. It is closed once the errors are found and rectified.
Does an agreed trial balance mean the books are correct?
No. It only confirms that total debits equal total credits. Several classes of error do not disturb the agreement.
Where does closing stock appear?
Usually as an adjustment outside the trial balance; it is shown in the Trading A/c and as a current asset in the Balance Sheet.
Why does the tool say the difference is divisible by 9?
When two digits are transposed (e.g. 1,250 entered as 1,520) the resulting difference is always a multiple of 9, which helps narrow the search.
