Receipt & Payment Voucher Generator
Vouchers are the source documents of bookkeeping. A receipt voucher records money coming in — from a customer, a tenant, a borrower — and is handed to the payer as proof. A payment voucher records money going out — to a supplier, an employee, a contractor — and is signed by the person receiving the cash or cheque. Auditors trace every cash book entry back to one of these. This tool prints a neat half-page voucher with serial number, date, party name, amount in figures and words, payment mode, instrument reference, purpose and three signature boxes.
Fields on a proper voucher
- Voucher type and serial number (separate series for receipts and payments).
- Date, name and address of the person paying or being paid.
- Amount in figures and in words (generated automatically) to prevent tampering.
- Mode — cash, UPI, cheque, NEFT/RTGS — with cheque number, UTR and bank name.
- "Towards" narration and the bill or invoice it settles.
- Signatures of the payer/receiver, the accountant and the authorised signatory.
Cash limits you must respect
Section 269ST of the Income-tax Act prohibits receiving ₹2,00,000 or more in cash from one person in a day, for one transaction or one event — the penalty equals the amount received. Section 40A(3) disallows business expenses paid in cash above ₹10,000 to one person in a day (₹35,000 for transporters). The voucher generator shows a warning when your entry crosses these limits. Cash receipts above ₹5,000 should also carry a ₹1 revenue stamp.
Worked example
A customer pays ₹18,500 by UPI against invoice INV-2026-014. Create a Receipt Voucher: party = customer name, amount = 18,500, mode = UPI, reference = the UPI transaction ID, towards = "Part payment against INV-2026-014". The voucher prints "Rupees Eighteen Thousand Five Hundred Only" and the accountant posts: Bank A/c Dr 18,500 / Customer A/c Cr 18,500.
Frequently Asked Questions
Do I need a revenue stamp on receipts?
Under the Indian Stamp Act a ₹1 revenue stamp is required on receipts for cash above ₹5,000. Electronic receipts (UPI, NEFT) do not need one.
What is the difference between a receipt voucher and an invoice?
An invoice creates the demand for money; a receipt voucher acknowledges that money was actually received.
Can I use this for GST advance receipts?
Yes. Under GST a receipt voucher must be issued for advances received; add the GST rate and amount in the notes if applicable.
Why does the tool warn me about cash?
Because Section 269ST and 40A(3) of the Income-tax Act penalise large cash receipts and payments. The warning helps you stay compliant.
