Debit Note & Credit Note Generator (GST)
Once a tax invoice is issued you cannot simply edit it. If the value or tax needs to change later, Section 34 of the CGST Act requires a credit note (to reduce) or a debit note (to increase), each referencing the original invoice. This generator produces either document with the same look as your invoice, the original invoice number and date, the reason for adjustment, item-wise GST and totals.
When to issue a credit note
- Goods returned by the buyer (sales return).
- Deficiency in services or goods found short or damaged.
- Post-sale discount agreed in advance.
- Invoice value or tax rate charged was higher than correct.
When to issue a debit note
- Taxable value or tax charged in the invoice was less than actual.
- Price escalation agreed after supply.
- Additional quantity supplied against the same order.
GST reporting and time limit
Both notes are reported in GSTR-1 of the month of issue (Table 9B). A credit note reduces your output tax liability only if the recipient reverses the corresponding ITC, and it must be declared by 30 November following the end of the financial year in which the supply was made, or the date of filing the annual return, whichever is earlier. There is no such time limit for debit notes, since they increase tax payable. From 2022, one credit note can cover multiple invoices.
Worked example
You invoiced 100 units at βΉ500 + 18% GST = βΉ59,000. The buyer returns 10 units. Issue a credit note for 10 Γ βΉ500 = βΉ5,000 taxable value, GST βΉ900, total βΉ5,900, referencing the original invoice. Your GSTR-1 shows the credit note; your output liability for the month falls by βΉ900 and the buyer reduces their ITC by βΉ900.
Financial vs GST notes
A "financial" credit note (for example a year-end incentive without GST impact) can be issued without tax lines β set all GST rates to 0% so only the value is adjusted.
Frequently Asked Questions
Does a credit note need the original invoice number?
Yes. Rule 53 requires the serial number and date of the corresponding tax invoice(s) on every credit or debit note.
Can I issue one credit note for several invoices?
Yes, since the 2022 amendment a single note may cover multiple invoices of the same recipient; list the numbers in the original invoice field.
What happens if I miss the 30 November deadline?
The credit note can still be issued commercially, but you cannot reduce your GST liability for it.
Who issues a debit note β buyer or seller?
Under GST only the supplier issues debit and credit notes. A buyer's "debit note" is an internal accounting document, not a GST document.
