Expense Report Generator

Whenever an employee spends personal money on company work β€” a client visit, a conference, buying stationery in an emergency β€” the expenses are claimed back through an expense report. A good report lists each spend with date, category, description, how it was paid and the bill number, totals them by category, adjusts any advance taken, and carries approval signatures. This tool produces exactly that as an A4 PDF, ready to attach to the bills and hand to accounts.

Structure of the report

  • Header β€” company, claimant name and ID, department, period covered, purpose of the trip or activity, cost centre.
  • Line items β€” one row per bill: date, category (travel, lodging, meals, conveyance, supplies and so on), description, paid by (personal cash/card, company card, advance) and amount.
  • Summary β€” total by category, less expenses already paid by company card, less advance taken, equals amount payable to (or refundable by) the employee.
  • Signatures β€” claimant declaration, verification by accounts, approval by manager, and a payment record strip.

Formula

Reimbursable = Total expenses βˆ’ Expenses paid by company card. Net payable = Reimbursable βˆ’ Advance taken. A negative result means the employee must refund the unspent advance.

Worked example

A sales executive visits Jaipur for two days with a β‚Ή5,000 advance. Expenses: train β‚Ή1,240, hotel β‚Ή3,600, taxi β‚Ή980, meals β‚Ή1,150, client lunch β‚Ή2,200 (paid on company card), printing β‚Ή300. Total = β‚Ή9,470. Less company card β‚Ή2,200 β†’ reimbursable β‚Ή7,270. Less advance β‚Ή5,000 β†’ β‚Ή2,270 payable to the employee. The category table shows Lodging β‚Ή3,600 as the largest head, which helps the manager set future per-diem limits.

Tax and policy notes

Reimbursements of genuine business expenses supported by bills are not taxable in the employee's hands. Fixed allowances without bills are. GST input credit on hotel and travel bills is available to the company only if the bill carries the company's GSTIN β€” ask employees to give the GSTIN at check-in. Cash payments above β‚Ή10,000 per person per day are disallowed under Section 40A(3), so encourage card or UPI. Lines without a bill number are flagged on the report so the approver can decide on an exception.

Frequently Asked Questions

Are expense reimbursements taxable for the employee?

No, if they reimburse actual business expenses backed by bills. Lump-sum allowances without bills are taxable salary.

What if an employee lost a bill?

Record the line anyway, leave the bill number blank; the report flags it so the manager can approve it as an exception per company policy.

How is the advance adjusted?

Enter the advance in Details. It is deducted from the reimbursable total; a negative net amount means the employee refunds the balance.

Can I claim GST credit on employee expenses?

Only when the supplier invoice is in the company's name with its GSTIN, and the expense is not blocked under Section 17(5) (e.g. food and beverages are generally blocked).
